Location: Binghamton, NY Category: Professional Posted On: Mon Mar 18 2024 Job Description: Budget Title: Senior Staff Assistant (SL-3) Salary: $53,151 - $60,000 Binghamton University Auxiliary Services enhances the university experience for students, staff, faculty, and alumni with the provision of important services.
Auxiliary Services manages the relationships between the campus and partners such as Binghamton University Dining Services (BUDS), which partners with Sodexo to deliver quality meals with superior service to the campus, banking services (Visions Federal Credit Union), the Binghamton Bookstore (Barnes & Noble), the Campus Pre-School, Pouring Rights (Pepsi), vending services, laundry services, Micro Fridge, trademark licensing, the Campus Food Pantry, and BU Acres.
Auxiliary Services also oversees the Binghamton Auxiliary Services Corporation (BASC), a non-profit corporation created to ensure superior services and enhance revenue generating opportunities for campus.
The Contract and Project Administrator is responsible for the development and management of all contracts within the unit's portfolio.
This position is expected to monitor the compliance of vendor and auxiliary partners with program and contract objectives.
In addition to contract oversight, this position will also oversee several projects which are integral to the success of the unit's performance both fiscally and for the end user experience.

Responsibilities of the Contract and Project Administrator will include: Initiate and manage the end-to-end contract management process for all contracts in the portfolio, including scope development, monitoring progress, developing and issuing RFPs and contract negotiation.
Maintain accurate files and calendars of important contract dates and deadlines; manage and create alerts for important timelines within in Revenue Vision (contract management software).
Create and implement annual funding commitment letters, memorandums of understanding (MOUs), addendums, or lease agreements as needed.
Maintain frequent communication with auxiliary partners to monitor performance, ensure all terms and conditions are being met and provide timely resolution of issues related to contractual obligations.
Coordinate with Procurement and Business Offices and legal counsel on matters pertaining to contracts; create all requests for quotes (RFQs)/commercial bids, identify critical issues that may impact the timely registration or completion of contract requirements.
Assist in compiling progress reports, partner performance evaluations and year end contract reports.
Conduct a monthly review of payment and contract compliance as well as of all submitted financial and performance reports.
Ensure compliance with applicable federal, state and local laws as well as State University of New York (SUNY) and Binghamton Auxiliary Services Corporation (BASC) policies.
Act as the unit administrator for the First Day program (digital material access program) in collaboration with the campus bookstore partner and other campus entities.
Assist unit partners with various levels of grant application, financial management and ensuring full compliance with grant requirements.
Provide assistance with the management of existing software contracts and future technology related upgrades.
Assist Auxiliary Services leadership with researching, developing and documenting internal policies and procedures for existing and new business endeavors.
Job Requirements: Visa sponsorship is not available for this position Bachelor's degree 1-2 years of leadership/management experience in a comparable business setting/function Ability to work as part of a team, as well as to prioritize and exercise flexibility during shifting priorities Ability to make smart decisions quickly, to work under stress in a variety of situations, and to remain calm and professional at all times Significant attention to detail to ensure compliance, limited revenue loss and reduce any potential risks to the organization Excellent communication and collaboration skills Computer proficiency with Microsoft Office, Google Apps and various web-based software platforms Preferred: Master's degree Contract management and administration experience Familiarity with the higher education setting and business models Experience in dining services management/operations or quality assurance field Additional Information: Offers of employment may be contingent upon successful completion of a pre-employment background check and verification of degree(s) and credentials.
